7 Steps to Get Going
The friendly path: configure, invite the crew, set pricing, run a real job, take it to the field, open it to customers, then dig into Analytics.
You don't have to learn all of Manuall to start getting value. These seven steps go in order, from setup to your first paid invoice, and you can work through them at your own pace.
Most teams get through them in a couple of focused hours.
You're not starting from scratch.
If you picked a Trade pack at signup (HVAC, Plumbing, Cleaning, and so on), your workspace already has trade-specific job templates, services, custom fields, and checklists. Lean on them as you go.
Step 1. Make Manuall feel like yours
- Upload your logo. Settings -> General -> Business info. A transparent-background PNG looks best. Your logo shows up on every estimate, invoice, and customer portal page.
- Confirm business info. Name, address, phone, email, website. These appear on every customer-facing document.
- Set your time zone and working hours. The slot finder and calendar run on these.
- Pick your number prefixes. Settings -> General -> Numbering. Decide how invoice, estimate, and job numbers should read (for example INV-1001). Adjustable later.
- Add your tax rate. Settings -> Tax Rates. Add one or more by name (for example "Ohio 5.75%"). New invoices default to your first rate.
Step 2. Invite your team
Add a second admin. Settings -> Users -> Invite. A second admin is your safety net. Pick someone you trust.
Invite the rest of the crew. Each person gets an email with a link and sets their own password.
Pick a role for each invite. The four built-ins cover most shops:
- Admin: full access, billing, users.
- Manager: operations and money.
- Dispatcher: sales and scheduling.
- Technician: My Jobs, My Time, Price Book, Knowledge Base, Chat.
Need finer control? Build a custom role anytime.
Set per-tech availability (optional, recommended). Team -> pick a tech -> Schedule & Service Area. Weekly schedule, home base, service radius. The slot finder uses these to suggest who can take which job.
Step 3. Review your Price Book
- Open it. Inventory & Price -> Price Book. If you applied a Trade pack, you will see roughly 15 services already in place, tagged
[REVIEW PRICING]. These are starting-point estimates; your real prices vary by region. - Adjust the prices you use most. Click any service to set Default / Member / Commercial pricing.
- Add Cost where you can. Cost is what you pay to deliver the service (parts plus labor cost). Manuall computes margin% for you, and Analytics uses it.
- Add parts to your top services (optional). A service can carry a parts bill of materials, so the parts ride along when you add the service to a job.
Step 4. Run one real customer all the way through
This step runs one customer through the whole revenue cycle in a single sitting.
- Add a customer. Customers -> New. Name, phone, service address. The address geocodes in the background and your new customer drops onto the Map.
- Build an estimate. Open the customer -> Estimates tab -> New. Pick services from the Price Book. Send.
- Convert to a job. When the customer approves, click Convert to Job. Click Suggest Slots and let Manuall pick the best open time.
- Mark the job complete when the work is done, then Generate Invoice to bill it.
- Send the invoice. Review it, hit Send. If Stripe is connected, the customer can pay online.

Step 5. Take Manuall into the field
- Install Manuall on your phone. Open it in Safari (iOS) or Chrome (Android), sign in, then tap Share or the menu and Add to Home Screen. Five-minute walkthrough: Install the mobile app.
- Share the install steps with each tech. One tap, no app store, no update prompts.
- Walk a tech through My Jobs. Today's list, tap a job, Check In (captures GPS), do the work, add parts and time, get a signature, Check Out.
- Try the offline behavior. Put the phone in airplane mode and tap Check In. The action queues, and syncs on its own when the signal returns, so a basement or a dead-zone job site doesn't lose anyone's work.
Step 6. Open it up for your customers
- Preview the customer portal. Customer detail -> Portal -> Open portal. This is exactly what your customer sees when they click a link in any email you send.
- Test a payment. Send yourself an invoice and pay it from the portal. Stripe's test card
4242 4242 4242 4242(any future expiry, any CVC) works for testing. - Send a survey. Customer Feedback -> Campaigns -> New. Pick a post-job CSAT template and target a real customer. Happy responses can route to your Google Business Profile review page automatically, a friendly way to grow reviews.
- Share your public booking link (optional). It is live from day one, no setup. Copy it from the Online Booking page or Settings -> General, then drop it anywhere a prospect might land: website footer, Google ad, email signature. Each submission arrives as a new Lead.
Step 7. Get into the insights and the automations
- Open Analytics. Insights -> Analytics. 90+ KPIs across 15 categories. Don't try to read them all at once. Pick the one category that matters most this month and check it weekly.
- Set up one recurring job. If you sell maintenance, configure a Recurring Job for one customer. Manuall creates the next visit on schedule.
- Set up one recurring invoice. If you bill subscriptions (monthly cleaning, say), create a Recurring Invoice schedule.
- Connect QuickBooks (optional). Settings -> Integrations -> QuickBooks. Authorize once; customers and invoices sync from then on.
- Customize your Dashboard. Dashboard -> Customize. The tiles you star are the ones you see next time you sign in.
You're up and running
By the time you have worked through these steps, you will have:
- A branded workspace customers recognize.
- Your team invited and roled.
- Pricing that reflects your business.
- Phones installed and tested offline.
- A complete real lead-to-paid run, end to end.
- A survey out, a portal opened, and your first look at Analytics.
