Window Frame Has Scratches After Installation: Pre-Existing vs. Installer-Caused Decision Tree

Why this matters

A scratch found on a window frame after installation creates an immediate dispute over who is responsible. Without a documented inspection at unpacking, the default assumption shifts to the installer. Knowing how to distinguish a factory or shipping scratch from an installation-caused scratch - and how to document either - protects your business and gives the customer a fair resolution path.

How scratches on window frames occur

Factory or shipping origin:

  • Deep scratches or gouges through the paint or anodizing layer that were present before the protective film was applied at the factory
  • Scratches beneath the intact protective film layer - the film has never been disturbed but a scratch is visible through it or under it
  • Scratches at the frame center or on a face that would not be accessible during installation
  • Edge chips or transit rubs on the outermost perimeter packaging contact points

Installation origin:

  • Scratches in the installation-access zone: the outer edge and corners of the frame where pry bars, shims, and setting blocks make contact
  • Scratches from frame clamps or suction cup edges on smooth-face frames
  • Linear marks running parallel to the direction of travel when a sash or frame was dragged across a rough surface
  • Paint transfer or smear from a metal tool across a vinyl surface

Branch 1: Was the protective film intact at the scratch location?

  1. Locate the scratch on the installed frame.
  2. Check whether the protective film is still present, still adhered, and uncut at that exact location.
  3. If the film was intact and the scratch is visible beneath the film: the scratch predates installation. This is a factory defect or shipping damage. The installer did not cause it.
  4. If the film was removed (as normal during installation) and the scratch is on an exposed face: proceed to Branch 2.

Branch 2: Where is the scratch located?

Map the scratch to one of two zones:

Installation-access zone (outer 40 mm of the frame perimeter, corner regions, exterior face near the rough opening):

  • This is where pry bars, shims, setting blocks, and handling grips contact the frame
  • A scratch in this zone after film removal is plausible as installation contact damage
  • Check the scratch direction: does it align with the direction a tool would have traveled?

Non-contact zone (center of the frame face, interior face of a unit already installed in the opening, glazed area, sash face):

  • A scratch here after a normal installation is difficult to attribute to the installer's tools
  • Most likely existed before installation or resulted from post-installation activity (customer moving furniture, cleaning)

Branch 3: Scratch depth and character

  • Through the surface coating into the substrate: deep damage. Factory defects tend to be this type when they occur, because impact during shipping is forceful. Installation tool scratches are also typically through-coating.
  • Surface scuff or gloss mark, no coating removed: more consistent with soft contact - protective film adhesive residue, rubber glove, or packaging foam. Less likely to be a dispute item.
  • Multiple parallel scratches in a tight cluster: consistent with a wire brush, abrasive pad, or metal edge dragged across the surface. Note whether any finishing materials used at the jobsite could account for this.

Pre-delivery inspection protocol

The most reliable protection is a documented inspection at the point of unpacking, before the window enters the building.

Steps:

  1. Photograph each unit while still in packaging, with packaging serial number or label visible.
  2. Remove packaging and inspect all four frame faces under adequate light before removing protective film.
  3. Photograph any pre-existing marks, chips, or scratches with a ruler or coin for scale.
  4. Note findings on the delivery receipt or a field inspection sheet, signed by the lead installer.
  5. If a defect is found before installation begins, contact the supplier before proceeding. Do not install a unit with visible factory damage without written acknowledgment from the supplier.

When documentation is absent

If no pre-installation inspection was done and the customer reports a scratch after the job is complete:

  1. Inspect the scratch location against the installation-access zone map above.
  2. Check installation photos taken during the job - many installers photograph rough openings, shimmed frames, and finished reveals. Look for any frame face visible in those photos.
  3. Ask whether any post-installation activity (cleaning, moving furniture, a contractor working nearby) could have caused contact with the frame.
  4. If the scratch is in a non-contact zone, a center-face location, or matches factory transit damage patterns, document that finding in writing and present it to the customer with your reasoning.
  5. If the scratch is genuinely in the installation-access zone and cannot be ruled out as installer contact, acknowledge it, document it, and present a repair or replacement path with the supplier.

Repair options

  • Vinyl frame touch-up: color-matched vinyl repair markers are available for minor surface scratches. Use only products intended for vinyl; solvent-based products will damage the surface further.
  • Aluminum anodized frame: anodizing cannot be repaired in the field. A touch-up pen can reduce visibility but does not restore the coating. Supplier replacement of the frame component is the correct resolution for a factory defect.
  • Customer-agreed workaround: for very minor surface marks in non-visible locations, a written customer acknowledgment that the mark is acceptable closes the ticket without replacement.
