Diagnose Hard Water Issues

Goal

Determine if customer has hard water + what type of treatment fits. Hardness is one of several water issues; diagnosing accurately prevents over-treating.

Prerequisites

  • Water test kit (hardness reagent strips OR digital hardness meter)
  • TDS meter
  • pH test
  • Iron test reagent
  • Customer interview notes
  • 30-60 minutes per home

Customer symptoms to ask about

  • White scale on faucets, fixtures, glass shower doors
  • Soap doesn't lather well
  • Skin feels dry/itchy after showering
  • Spotting on dishes
  • Reduced water heater efficiency
  • Visible deposits in coffee makers, kettles
  • Reduced shower pressure over time

Diagnostic steps

Step 1: Initial water test (10 min)

  1. Test hardness using reagent or strips
  2. Test TDS (total dissolved solids)
  3. Test pH
  4. Test iron if reddish staining present
  5. Visually inspect: clear, cloudy, colored?

Step 2: Interpret results

Hardness:

  • 0-3 GPG (60 mg/L CaCO3): soft (no softener needed)
  • 3-7 GPG: slightly hard
  • 7-10 GPG: moderately hard
  • 10-15 GPG: hard
  • 15-30 GPG: very hard
  • 30 GPG: extremely hard

Most US residential water: 3-15 GPG (treated city water typically 3-10; well water variable).

TDS:

  • < 100 ppm: excellent
  • 100-300 ppm: typical
  • 300-500 ppm: high (may indicate well water or specific contamination)
  • 500+ ppm: concerning

pH:

  • 6.5-8.5: normal range
  • < 6.5: acidic (corrosive)
  • 8.5: alkaline

Iron:

  • < 0.3 mg/L: acceptable
  • 0.3 mg/L: causes reddish staining; needs iron filter

Step 3: Visual inspection of customer's fixtures

  • White hard scale on faucets: limescale from hardness
  • Pink/orange staining: iron
  • Black staining: manganese or iron
  • Slimy buildup: bacteria/biofilm
  • Cloudy glassware: hard water

Step 4: Interview about issues

  • "What's bothering you about your water?"
  • "How long has this been going on?"
  • "Has your water source changed?"
  • "Have you tried any treatment products?"

Sizing softener (if hard water confirmed)

Step 1: Daily water usage

Average per person: 50-80 gallons/day

For 4-person home: ~250 gallons/day

Step 2: Daily grains needed

Daily usage × hardness in GPG

Example: 250 gallons × 12 GPG = 3,000 grains/day

Step 3: Softener capacity

Sized for ~7 days between regenerations:

3,000 grains × 7 days = 21,000 grain capacity needed.

Round up to next standard size: 24,000 grain.

Standard sizes:

  • 24,000 grain (2 cu ft resin)
  • 32,000 grain
  • 48,000 grain
  • 64,000 grain
  • 80,000 grain

When softener alone isn't enough

Iron present:

  • < 1 mg/L: softener can handle with care
  • 1 mg/L: separate iron filter required pre-softener

Very high hardness (> 25 GPG):

  • Multiple softeners in series OR commercial-grade unit

Bacterial issues:

  • UV disinfection
  • Chlorine injection + activated carbon

Acidic water:

  • Neutralizer (calcite) + softener combo

Specific contamination (lead, arsenic, etc.):

  • RO at point-of-use
  • Whole-house RO for severe cases

When softener is NOT the right answer

  • Aesthetic complaints only (taste, smell): activated carbon often sufficient
  • Hardness < 7 GPG + customer mostly OK: softener may be unnecessary
  • Acidic water without hardness: neutralizer alone
  • Sodium-restricted diet: salt-free conditioner OR RO for drinking

Salt-free conditioners (alternative)

  • Template-assisted crystallization
  • Doesn't remove hardness; transforms it
  • Hardness still measures the same
  • Doesn't lather like a softener
  • Better for sodium-sensitive customers

Explain:

  1. Hardness measurement (GPG)
  2. What the softener will + won't do
  3. How regeneration works (uses salt + water)
  4. Sodium increase in softened water (minimal; about 5 mg per cup)
  5. Drinking water option (RO at kitchen sink) for low-sodium needs
  6. Annual maintenance + salt costs

Common diagnostic mistakes

  • Skipping iron test: customer staining iron-related, softener doesn't fix
  • Assuming hard water from one symptom: scale could be other minerals
  • Not testing well water comprehensively: bacteria, nitrates, other contaminants

When to recommend full water test (lab)

If customer has:

  • Multiple symptoms not matching hardness
  • Well water (always recommend annual test)
  • Recent illness in family
  • Unusual taste, smell, or color
  • New water source (just moved, new well)

Local labs typically for comprehensive panel.
