Reading Equipment Nameplate Data Reference

Why this matters

The nameplate is the manufacturer's authoritative statement about what the equipment is and what it needs. Every diagnostic conversation, parts order, and code-compliance question starts there. The tech who reads nameplates fluently catches problems early - incorrect breaker sizing, wrong refrigerant, retrofitted parts that don't match. This is the field card.

Where to find the nameplate

  • HVAC outdoor unit: side panel; sometimes under the service-access door
  • HVAC indoor unit (air handler / furnace): cabinet door, blower compartment, or near electrical
  • Water heater: side or front, near gas valve or electrical access
  • Electric motors: outer housing
  • Appliances: typically inside the door, behind a kick panel, OR on the back
  • Boilers: near the controls
  • Pumps: housing exterior
  • Generators: side panel near outlet area

Take a photograph at the start of every job. The photo is your reference + your customer's documentation.

Common HVAC nameplate fields

Model number: identifies exact equipment configuration. Often encoded - letters/digits indicate ton capacity, voltage, refrigerant, features. Manufacturer documentation decodes.

Serial number: unique to this unit. Often encodes manufacturing date - first 4 digits commonly year-week.

Refrigerant: R-22, R-410A, R-32, R-454B (and which one is in this unit determines parts + servicing rules)

Factory charge weight: total refrigerant when system charged at factory. Critical for accurate recharging after evacuation.

Voltage / phase / frequency: e.g., 208/230V 1Ph 60Hz, OR 460V 3Ph 60Hz

Minimum circuit ampacity (MCA): minimum wire ampacity for the supply circuit (NEC code basis)

Maximum overcurrent protection (MOP): maximum breaker / fuse size for protection

RLA (Rated Load Amps): compressor full-load amps

LRA (Locked Rotor Amps): compressor starting current

FLA (Full Load Amps): fan motor or other loads

SEER / SEER2 / EER: efficiency ratings

Capacity (BTU/hr or tons): cooling/heating output

Date of manufacture: warranty starting point

Common HVAC nameplate misreadings

Confusing model number with serial: model is the configuration ID; serial is the unique unit. Both are needed for parts orders + warranty lookups.

Reading the indoor nameplate for an outdoor question (or vice versa): each unit has its own. Match outdoor + indoor model numbers to verify the system is a matched pair (mismatched indoor/outdoor coils + condenser are a common warranty + efficiency issue).

Missing refrigerant on older units: if it's not on the plate, look for a sticker added at service. If still unclear, EPA 608 rules require knowing what's in the system before servicing.

MCA vs RLA confusion: MCA is for sizing supply; RLA is for diagnosing operation. They're different numbers serving different purposes.

Electric motor nameplate

HP: rated horsepower output

RPM: rated speed (1725, 1075, 3450, etc.)

Voltage: 115V, 208/230V, 460V

Phase: 1 (single) or 3

FLA (Full Load Amps): current at rated load

SF (Service Factor): 1.0, 1.15, 1.25 - how much above rated it can run continuously

Frame: standard NEMA frame size (matches replacement mounting + shaft dimensions)

Insulation class: B, F, H - temperature rating

Enclosure: ODP (open drip-proof), TEFC (totally enclosed fan-cooled), explosion-proof

Rotation: CW or CCW viewed from shaft end (some motors are unidirectional)

When replacing a motor, every one of these needs to match. Skipping rotation direction is the most common rookie miss.

Water heater nameplate

Capacity (gallons): storage tank size

Recovery rate (GPH): gallons heated per hour from cold

First-hour rating (FHR): total available hot water in first hour

Input (BTU/hr for gas, W for electric): energy input

Gas type: natural gas OR propane (DON'T interchange jets without conversion kit)

Manifold pressure: typically 3.5" WC natural gas, 10" WC propane

Electrical specs (electric): 240V single-phase, 4500W typical

Energy factor (EF) OR Uniform Energy Factor (UEF): efficiency rating

T+P relief valve setting: typically 150 PSI / 210°F

Date of manufacture: warranty + age determination

Pump nameplate

HP: motor rating

GPM at specified head (ft): rated flow at rated pressure head

Maximum head (ft) at zero flow: shut-off pressure

Voltage / phase / amperage

Max ambient temp: 104°F typical residential

Max liquid temp: varies by application

Service factor

Appliance nameplate

Model + serial: for parts + warranty

Voltage / amperage / wattage

Frequency: 60 Hz US, 50 Hz some imports

Refrigerant (refrigerators / freezers): R-134a older, R-600a (isobutane) newer

ENERGY STAR / efficiency rating

Date of manufacture

Decoding manufacture date from serial

Most manufacturers encode date in serial:

  • 4-digit prefix YYWW (year + week) is common
  • Letter codes for month (A=Jan, B=Feb, etc.) on some brands
  • Some brands publish decoder keys; aftermarket sites (Building Intelligence Center) decode

Knowing equipment age tells you:

  • Warranty status
  • Approximate end-of-life vs repair-vs-replace decisions
  • Whether code-required updates apply (R-22 systems, AFUE minimums)

Verifying nameplate matches reality

Sometimes equipment was modified or wrong nameplate was applied. Verify:

  • Voltage at terminals matches nameplate
  • Amperage draw under load matches RLA/FLA roughly
  • Refrigerant pressures match nameplate refrigerant at expected conditions

Mismatches indicate prior incorrect repair, contamination, or wrong charge.

Special situations

Faded / unreadable nameplate: clean gently with damp cloth; for outdoor units, sun fade is common. Photograph what's legible + use partial model lookup with manufacturer.

Replacement nameplate sticker: some manufacturers replace damaged plates. Note that the replacement may have different data than the original - check with manufacturer if unclear.

Aftermarket nameplate (rare): equipment has been retrofit or rebuilt; original may be unavailable. Treat with skepticism; verify operationally.

No nameplate: legacy equipment; some serial-only ID. Manufacturer technical support can sometimes identify by photograph.

Documentation

When you photograph nameplates, include in the service ticket:

  • Photo embedded or referenced
  • Key fields transcribed (model, serial, refrigerant, voltage, capacity)
  • Date of manufacture decoded
  • Customer copy + your records

This becomes the basis for parts orders, warranty claims, future service visits, and customer documentation for sale of property.
