Reading Construction Plans + Specifications

Why this matters

Most major service work is GC-coordinated OR design-supplied. The contractor who reads plans fluently gets the work + delivers on spec; the contractor who can't read plans gets stuck working "what looks right" + creates conflicts with GCs + designers + change-order disputes. Plan-reading is the foundation skill for moving from residential service work into commercial + multi-family + new-construction work - where margins are higher + customer relationships are repeatable.

Plan organization

Construction documents typically include:

Drawings (graphical):

  • A - Architectural: floor plans, elevations, sections, details, schedules
  • S - Structural: foundation, framing, structural details
  • M - Mechanical: HVAC, ductwork, equipment
  • P - Plumbing: water, sewer, gas, fixtures
  • E - Electrical: power, lighting, low-voltage, panels
  • C - Civil: site, utilities, drainage
  • L - Landscape: planting, irrigation, hardscape

Specifications (written):

  • Division-by-division spec book per CSI MasterFormat
  • Material brands + grades + installation methods
  • Performance requirements
  • Submittals (approvals contractor must get for substitutions)

Schedules (tabular):

  • Door schedule (size, type, hardware per door)
  • Window schedule (size, U-value, SHGC, glazing)
  • Equipment schedule (model, size, location)
  • Lighting schedule
  • Plumbing fixture schedule
  • Finish schedule

Drawing scales + symbols

Architectural scale (1/8" or 1/4" per foot typical):

  • Read the dimension to convert
  • Confirm the scale used at title block

Engineering scale (1:20, 1:50 typical for civil):

  • Different scale + units

Common architectural symbols:

  • Wall: thick continuous line
  • Door swing: arc indicating swing direction
  • Window: thin lines in wall
  • Stairs: parallel lines with arrow showing direction up
  • Plumbing fixture: schematic (toilet = circle + tank)
  • Electrical: receptacle (circle with R or letters)
  • HVAC equipment: rectangle with designation

Section indicators:

  • Cut line through plan
  • Letter or number identifies which sheet shows the section

Detail indicators:

  • Circle with detail number + sheet reference
  • Take you to detail drawing for that specific element

Common drawings + what to find

  • Floor plan (A101): wall layout + dimensions, doors + windows, room labels, fixtures, stairs.
  • Reflected ceiling plan (A111): ceiling treatments, light fixtures, diffusers + grilles, ceiling heights.
  • Elevation (A201+): exterior face, window/door details, material transitions, heights.
  • Section (A301+): vertical cut, floor + roof construction, foundation details.
  • Detail (A501+): close-up of complex joints, connection + flashing + trim details.

Mechanical (M): M101 HVAC floor plan (equipment, duct routing, diffusers, legend). M201 sections + details. M301 schedules (equipment + diffuser + damper + pump). M401 specifications.

Plumbing (P): P101 floor plan (fixtures + water/sewer/gas routing). P201 isometrics + risers (vertical routing, vents + drains - critical for slope + venting). P301 schedules.

Electrical (E): E101 lighting (fixtures + types + switching + receptacles). E201 power + low-voltage. E301 riser + panel schedules (load calcs + connections). E401 single-line + details (service entrance + transformer + switchgear).

Specifications book (the "specs")

CSI MasterFormat divisions (architecture standard):

  • 01: General requirements
  • 02: Existing conditions
  • 03: Concrete
  • 04: Masonry
  • 05: Metals
  • 06: Wood + plastics
  • 07: Thermal + moisture protection
  • 08: Doors + windows
  • 09: Finishes
  • 10 - 14: Specialties + equipment + furnishings + special construction
  • 20s: Mechanical (HVAC, plumbing) divisions
  • 26: Electrical
  • 27: Communications
  • 28: Electronic safety + security
  • 31 - 35: Site work + utilities

Each specification has THREE PARTS:

  • Part 1 - General: scope, references, submittals, quality assurance
  • Part 2 - Products: specific materials + manufacturers
  • Part 3 - Execution: installation methods + workmanship

Critical to read: the "Or Equal" clauses + substitution provisions. Most specs allow substitutions; some don't.

Submittals

For specified products you must SUBMIT for approval before installing:

  • Equipment specifications
  • Manufacturer's installation manuals
  • Brand substitution requests (if substituting from spec)
  • Shop drawings (custom fab work)
  • Color samples
  • Material samples

Process: contractor submits to architect/engineer; gets approval; can then order/install.

Critical: don't order equipment before submittals are approved. If submittal comes back rejected + you've ordered, you eat the cost.

RFIs (Request for Information)

When plans don't show something OR have a conflict OR are unclear:

  • Submit RFI to architect/engineer
  • Question + recommended response (sometimes)
  • Architect responds; response goes into project record
  • Saves the "I assumed X" lawsuit later

Standard RFI format:

  • Project name + number
  • RFI number (sequential)
  • Date
  • Description
  • Question
  • Drawing + spec reference
  • Contractor recommendation
  • Architect response

Change orders

Plan changes during construction:

  • Customer / owner / architect-initiated change
  • Cost + schedule impact documented
  • Customer signs change order
  • Work proceeds per change order
  • Original contract amount updated

Without change order: contractor does extra work + can't bill for it (or fights it). Customer + architect can later say "you did it anyway."

Working with the design team

Architect (lead designer):

  • Owns the project vision + design intent
  • Final authority on aesthetic decisions
  • Owns the specification book

Engineer (structural, mechanical, electrical):

  • Designed system per architect's requirements
  • Authority on engineering decisions
  • Reviews submittals

Contractor (you):

  • Builds per drawings + specifications
  • Submits substitutions for approval
  • Reports problems via RFI
  • Manages schedule + safety

GC (general contractor):

  • Coordinates subcontractors
  • Schedule management
  • Customer interface

Common plan-reading mistakes

Skipping the schedules: drawings show "Equipment EQ-1"; schedule shows manufacturer + model. If you skip the schedule, you order generic equipment + lose margin.

Missing addenda: plans are revised before bid; addenda issued. Bid + build per latest addenda, not original plans.

Assuming OR equal: substituting without approval. Architect rejects; you re-order + delay.

Not coordinating between trades: HVAC duct conflicts with structural beam; nobody caught it on plans; conflict during install.

Missing detail referenced on plan: detail referenced but not on the supposed sheet. RFI required.
