Septic Real Estate Inspection Report Writing

Why this matters

A real-estate septic inspection is a high-stakes service: the buyer, the seller, the lender, the buyer's agent, and the seller's agent all depend on the report. A vague or incomplete report kills the sale or creates conflict that drags into legal action. A clear, defensible report closes the transaction or appropriately flags issues that need to be addressed before closing. The septic contractor who can deliver this service efficiently and write reports that hold up under scrutiny becomes the go-to inspector for local realtors, generating a regular stream of inspections per month. The report's value is in its specificity: vague "needs maintenance" produces conflict; specific "outlet baffle deteriorated, replacement required, quoted under separate work order" supports clear negotiation.

When to perform

  • Real estate sale inspection (mandatory in many states for septic-served homes)
  • Pre-purchase due diligence (buyer's inspector)
  • Bank-required inspection for mortgage (FHA, VA, USDA loans often require)
  • Insurance underwriting
  • Estate / probate property transfer

Components of a real estate septic inspection

A complete inspection includes:

  1. Visual inspection of all visible components
  2. Septic tank inspection (open access lids, measure sludge / scum)
  3. Effluent filter inspection
  4. Distribution box inspection (if accessible)
  5. Pump tank inspection (if applicable)
  6. Drainfield surface inspection
  7. Records review (permits, prior service, install date)
  8. Flow test (some inspections include water use simulation)
  9. Soil dye test (some inspections, especially for failure investigation)
  10. Photographic documentation
  11. Written report with findings and recommendations

Pre-inspection requirements

Before scheduling, confirm with the customer (or referring agent):

  • Access to all components (where are tank lids, riser caps, alarm panel)
  • Records available (install permit, prior service records)
  • Customer authorization for the inspection
  • Customer authorization for any tank opening
  • Anticipated turnaround time (usually 24 to 72 hours for the report)

If the customer cannot provide access or records, set expectations:

  • Inspection may be incomplete
  • Findings will note the limitations
  • Recommend pre-inspection prep (uncovering buried tanks, retrieving records)

Inspection sequence

Step 1: Records review

Before site visit:

  • Pull septic system permit from local jurisdiction (if available)
  • Note install date, tank size, drainfield design
  • Review prior service records (pumping intervals, repairs)
  • Identify any prior failures or concerns

A well-documented system is easier to inspect; an undocumented system requires more on-site investigation.

Step 2: Visual exterior inspection

Walk the property:

  • Note tank location, type, age
  • Identify drainfield location
  • Surface conditions (any wet areas, vegetation differences, surface evidence)
  • Setbacks from wells, surface water, property lines (verify compliance with local codes)
  • Vegetation over tank and field (trees within 30 ft of drainfield: red flag)
  • Vehicle traffic over the field (driveways, parking areas crossing the field)
  • Slope of the property and drainage patterns

Step 3: Open and inspect the tank

  • Open access risers / lids
  • Measure sludge and scum levels (sludge judge)
  • Inspect tank walls for cracks
  • Inspect baffles (inlet and outlet)
  • Inspect outlet for effluent filter (presence, condition)
  • Note tank size and material
  • Estimate remaining capacity before next pumping

Step 4: Distribution box inspection

If accessible:

  • Open D-box
  • Inspect internal condition
  • Verify level distribution
  • Inspect outlet pipes to drainfield laterals
  • Look for evidence of one lateral receiving more flow than others

Step 5: Pump tank / advanced treatment inspection

For pressure distribution or ATU systems:

  • Open pump tank
  • Verify pump operation
  • Test alarms
  • Inspect float switches
  • Note any service or replacement needs

Step 6: Drainfield surface inspection

Walk the field:

  • Note any wet spots
  • Note vegetation differences
  • Look for evidence of failure (sewage at surface, foul odor, dead vegetation)
  • Note any structures or improvements over the field

Step 7: Flow test (optional)

Some inspections include a flow test:

  • Run a measured volume of water through the system (typically 100 to 300 gallons)
  • Verify the system handles the load without surface daylighting or backup
  • Note how quickly the water dissipates

Flow tests are not always performed; their value is debated (one-time flow doesn't predict long-term capacity).

Step 8: Photograph everything

  • Each tank lid (open and closed)
  • Tank interior
  • Effluent filter condition
  • Distribution box interior
  • Drainfield surface
  • Any specific findings (wet areas, broken components, damage)
  • Property setbacks and notable surroundings

Photos support the report findings; provide them in the written report.

Report writing

A real estate septic inspection report should include:

Header

  • Property address
  • Inspection date
  • Inspector name and credentials
  • Inspection type (real estate transaction, pre-purchase, etc.)
  • Client / requesting party

System description

  • System type (conventional gravity, conventional pressure, ATU, mound, sand filter)
  • Install date (per records or estimated)
  • Tank size and material
  • Drainfield design
  • Components present (filter, pump, alarm, etc.)

Findings

For each component, write the actual condition:

Component Condition
Septic tank Concrete, 1,000 gallon, install date 1998. Tank walls intact. Inlet baffle present and functional. Outlet baffle showing minor deterioration at top edge; recommend monitoring. Sludge depth 14 inches; scum depth 6 inches. Pumping recommended within 6 months.
Effluent filter Polylok PL-122 present; cleaned at inspection.
Distribution box Inspected. Concrete, in good condition. Outlets level within 1/4 inch.
Drainfield Visual inspection only (not excavated). Surface dry. Vegetation green but not excessive. No surface daylighting observed.

Be specific. Avoid vague phrases like "appears OK" or "needs maintenance". Quantify where possible.

Recommendations

Three categories:

  1. Immediate: must be addressed before transfer of ownership
  2. Near-term (within 1 year): condition observed that requires attention but is not blocking transfer
  3. Monitoring: condition observed; verify at next inspection but no current action
