Water Softener Installation and Service
Why this matters
A customer who replaces a tankless water heater every 4 years instead of every 15 has a hardness problem, not a tankless problem. Scale from calcium and magnesium hardness destroys heat exchangers, fouls faucets, leaves spots on dishes, and shortens the life of every appliance touching water. A properly sized and serviced ion-exchange softener fixes the problem at source. The reason most softener installs underperform: the contractor sized by guesswork, mis-set the regeneration cycle, or routed the drain line in a way that triggers air-gap code violations on the next inspection. Each of those is preventable with a pre-install water-test and a 15-minute review of the manufacturer install manual.
When to use
Install a softener when:
- Water test shows hardness over 7 grains per gallon (gpg) - the customer-perceptible threshold
- Customer reports white scale on fixtures, spotted dishes after dishwasher run, soap that does not lather
- Water heater service reveals scale buildup in the tank or heating elements
- Tankless heater requires more frequent flushing than the manufacturer's hard-water schedule
- Hardness over 15 gpg - aggressive treatment recommended in any case
- A new construction install in a known-hard-water zone
Do NOT install when:
- Hardness is under 4 gpg (soft water by USGS classification; softener unnecessary)
- Customer is on a low-sodium diet AND the only treatment option is sodium-cycle (consider potassium chloride alternative or reverse-osmosis at point-of-use)
- Customer has a small spring-fed or well system with iron content over 5 ppm without iron pre-treatment (iron fouls softener resin)
- Customer is in a regulated discharge area where brine discharge from regen is prohibited (parts of CA, AZ, NV)
Water test before quoting
Run a test before quoting. Critical parameters:

A a modest cost LaMotte hardness titration kit and 5 minutes of testing is the difference between a properly sized install and a callback.
Tools and materials
- Softener unit sized per hardness and water-use calculation (see sizing)
- Bypass valve assembly (typically included with unit)
- Brine tank (typically included)
- Brine line tubing (1/4 inch or 3/8 inch nylon per manufacturer)
- Drain line tubing (3/8 inch or 1/2 inch flex)
- Air gap (manufacturer-supplied or shop-built per UPC 801.0)
- Salt (NaCl pellets or solar salt; 40 lb bag)
- PEX or copper fittings for inlet and outlet plumbing
- Shut-off valves on inlet and outlet
- 3/4 inch NPT brass fittings for unit connections
- Standard plumbing tools
Safety
Standard plumbing safety. The most-overlooked safety concern: brine discharge can backflow into the potable supply if the air-gap is missing or mis-installed. A backflowed brine load contaminates the entire home supply with brine.
The drain line from the softener MUST terminate at an air gap, never direct-connect to the sanitary drain. The air gap is a physical air space of at least twice the drain diameter (typically 1.5 to 2 inches) between the drain tube discharge and the receptor. A direct-connect drain creates a code violation AND a real cross-connection risk where a sanitary backup pushes contaminated waste into the softener and from there into the potable system. UPC 801.0 and IPC 802.0 both prohibit direct connection.
Sizing the softener
Softener capacity is rated in grains-of-hardness removed per regen cycle. Total weekly capacity required:
Daily hardness load = (people × 75 gal/day per person) × hardness in gpg
Weekly load = daily load × 7

The general principle: size the unit so it regenerates once every 7 to 14 days. Regenerating more often wears the resin faster and uses more salt; regenerating less often risks letting the resin become exhausted between cycles and delivering hard water.
For a typical 4-person home with 10 gpg water, a 32,000 grain unit on a 7-day cycle is the standard pick. For a 6-person home with 20+ gpg, a 64,000 grain unit on a 5 to 7 day cycle.
Procedure
Step 1: Locate the unit
Place the softener:
- After the water meter and main shut-off
- Before any fixtures requiring treated water
- After any irrigation tap-off (do not soften lawn-irrigation water; salt damages plants)
- After any outdoor hose bib serving the lawn (same reason)
- Bypass any plumbed water sources for kitchen-tap RO units (some customers want unsoftened drinking water)
Typical location: utility room, basement near the water entry, garage near the water entry. Indoor unconditioned spaces (garages in cold climate) work if temperature stays above 35 F.
Step 2: Install the bypass valve
The bypass valve (usually a yoke fitting with three-position lever) mounts on the softener head. The lever has positions:
- IN SERVICE: full flow through the softener
- BYPASS: full flow around the softener (for maintenance or vacation)
- DIVERT/REGEN: depending on model
Plumb the inlet of the bypass to the supply side and the outlet to the house side.
Step 3: Plumb the inlet and outlet
Use 3/4 inch piping minimum. The supply line connects to the bypass inlet; the house side connects to the bypass outlet. Install isolation valves on both sides to allow future service without shutting down the entire home.
For PEX systems, use the manufacturer's recommended PEX-to-thread adapter. For copper, use a brass fitting and sweat or push-fit connect.
