Spots Return on the Same Day as Cleaning: Attribution Decision Tree

Why this matters

A customer call about spots on the same day the job was completed is one of the highest-friction interactions a window cleaning company faces. The technician knows the glass was clean when they left. The customer sees spots and concludes the job was not done right. The actual cause may be the technician's rinse water, irrigation overspray, frame oxidation runoff, or pre-existing hard-water scale that is now more visible. Each cause has a different correct response: redo, explanation, or upsell. Getting the attribution right on the first callback call prevents a free redo on work the technician did correctly and identifies cases where a redo is genuinely owed. This tree routes the technician and the office through the four branches.

The four causes

Cause 1 - mineral deposits from rinse water. Hard water left on the glass after the final rinse evaporates and leaves a mineral haze. This is a technician technique issue. It occurs when rinse water dries on the glass rather than being squeegeed off completely, typically on large panes in direct sun or on jobs where the rinse step is done at the end of a long hot day. The deposits are fine, uniform, and slightly hazy rather than bead-shaped. They appear anywhere on the glass surface, not just near the frame.

Cause 2 - frame or sill runoff. Calcium, paint residue, silicone, or oxidized aluminum washes off the frame or sill onto the clean glass with the first breeze, rain shower, or irrigation cycle after the job. The deposits appear in a drip or streak pattern originating at the frame edge or sill lip, angled downward from the frame. They are often darker or more defined than a mineral haze, and they are concentrated near the frame, not distributed across the center of the glass.

Cause 3 - irrigation overspray. A sprinkler head that points at the building or oscillates past the glass deposits hard water on the glass within hours of cleaning. The pattern is broad and relatively uniform on the lower half of ground-floor windows or any window in the path of the spray arc. Spots are typically round or tear-shaped and heavier at the bottom of the glass than the top.

Cause 4 - pre-existing hard-water scale now visible. The glass has etched hard-water scale from prior irrigation or runoff that was not treated during the service. A surface clean removes the grime around the scale but leaves the scale. The scale becomes more visible against the now-clean surrounding glass and the customer perceives it as a new problem introduced by the cleaning. Scale typically presents as a cloudy patch with a rough texture when the fingernail is dragged across it, as opposed to a smooth mineral film. It does not wipe off with a cloth.

Diagnostic steps

When the customer reports same-day spots, ask these questions before dispatching a redo:

  1. Where on the glass are the spots? Near the frame edge and running downward = frame runoff (Cause 2). Broadly distributed = mineral deposits (Cause 1) or irrigation (Cause 3). Concentrated in a patch that was hazy before = scale (Cause 4).

  2. Does the property have irrigation? If yes: did it run since the cleaning was completed? Many systems run on a timer in the late afternoon or at dawn. If the windows were cleaned in the morning and irrigation ran at 6am the next day, irrigation is Cause 3.

  3. Are the spots new since the cleaning, or were they present before and are now more noticeable? If the customer says "they were there before but now they look worse," that is Cause 4.

  4. Are the spots on every window or only on specific windows near a roofline, parapet, or painted frame? Selective distribution near a frame is Cause 2.

Correct response by branch

Cause 1 (mineral rinse deposits) - redo is owed. The technician left mineral deposits on the glass. Return and re-squeegee the affected panes. Review rinse technique in direct-sun conditions with the technician.

Cause 2 (frame runoff) - explanation, no redo. The glass was clean when the technician left. Frame runoff is an ongoing property condition. Explain this to the customer, offer to include a frame-wipe step on future visits to reduce runoff onto the glass, and document the conversation. No redo is owed for runoff that occurred after the technician left. If the customer wants ongoing protection, recommend a frame-sealant service.

Cause 3 (irrigation overspray) - explanation, no redo. The glass was clean when the technician left. Recommend the customer have their irrigation heads adjusted to avoid the windows. Note on the job record that irrigation was present and may re-spot the glass. No redo owed for post-service re-contamination.

Cause 4 (hard-water scale) - upsell opportunity. The glass has scale that requires a chemical or abrasive treatment to remove. A standard cleaning pass will not remove it. Present the customer with a hard-water treatment option (acid-based scale remover, fine abrasive pad with appropriate agent). Explain that the cleaning revealed the scale by removing the surrounding grime. Do not charge for a redo of the cleaning; charge for the scale treatment as a new service.

Proactive communication before leaving the job

The technician can reduce same-day callbacks significantly by saying the following before leaving any job with frame runoff risk or known irrigation:

  • "The glass is clean now. If you have sprinklers that run near these windows, or if rain washes anything off the window frames, you may see some spots come back. That is not the cleaning wearing off - it is the property re-depositing. Let me know if you want us to add a frame-wipe step on the next visit."

This statement takes 20 seconds, sets the correct expectation, and positions the business as expert rather than defensive when the customer calls.

Do not agree to a free redo for Causes 2, 3, or 4 without first confirming the attribution. A technician who redoes frame-runoff spots will redo them again after the next rain. Document the attribution in the job record every time so repeat callbacks on the same property get resolved faster.
