Unfamiliar Equipment: Attempt vs Refer Decision Tree

Why this matters

Sooner or later you stand in front of a piece of equipment you have never serviced. The honest question is whether you should work on it or hand it off. Push past your competence and you can hurt yourself, damage an expensive system, and own a callback you cannot fix. Refer too quickly and you give away work you could have done with a manual and ten minutes. This tree separates "unfamiliar but within reach" from "out of scope," with the safety lines drawn first so curiosity never overrides them.

Start here: is there a hard stop

Some boundaries are not judgment calls. Stop and refer regardless of how interesting the problem is if any apply:

  • It is outside your trade or license. If the work legally requires a credential you do not hold (gas fitting, electrical, refrigerant handling, medical-grade equipment), you do not touch it. Curiosity is not a license.
  • There is an active life-safety hazard you are not equipped or trained to control (a suspected gas leak, energized water, a pressure vessel concern).
  • The energy source cannot be safely isolated with the means you have on site.

These are hard stops. Everything below assumes none of them apply.

Assess the gap: familiar enough to learn it here

If there is no hard stop, ask how far the unfamiliar equipment is from what you know. Most equipment in a trade shares the same physics; the unfamiliar part is usually the layout, not the principles.

Work through these:

  1. Are the fundamentals the same as gear you know? A motor is a motor, a valve is a valve, a control board reads sensors and switches loads. If the building blocks are familiar, the gap may be small.
  2. Is there documentation on site or available? A nameplate, a wiring diagram, a service label, a manual. With good documentation, "unfamiliar" often becomes "readable."
  3. Do you have the right tools and parts access? Specialized fittings, a proprietary connector, or a part you cannot source means the job stalls even if you understand it.
  4. Can you isolate and test safely at each step without guessing? If you cannot prove the thing is de-energized or depressurized before you open it, that is a stop.

When attempt-leaning and refer-leaning rows split, the safety and license rows decide it, then failure-risk. Time pressure is never a reason to attempt past your competence.

If you attempt it

Work it like a stranger, because it is one:

  • Read first, then touch. Find the diagram and the safety controls before removing a cover.
  • Verify de-energized or depressurized yourself at every stage. Do not trust a switch position you did not test.
  • Change one thing at a time so you can reverse it. Photograph wiring and connections before you disturb them.
  • Set a stop point. If you are guessing rather than reasoning, or if you are about to defeat a safety control to proceed, stop. That is the boundary.

If you refer it

Referring well is a skill, not a failure:

  • Tell the customer plainly: this is outside what you can safely or competently complete, and forcing it risks the equipment and them.
  • Make the system safe before you leave - shut down a hazard, advise on interim operation, lock out if needed.
  • Hand off useful information: what you observed, what you ruled out, the model and nameplate data, so the next tech does not start cold.
  • Document the referral and the reason.

Bank this: the line is set by license, safety, and your honest read of the gap - not by ego and not by the clock. A clean referral keeps the customer safe and keeps your name good.
