The Wrong Supply or Setting the Customer Changed

Why this matters

A huge share of "it broke" calls are not breakage at all. Someone changed a setting, flipped a switch, turned off a supply, or fed the equipment the wrong input, and the machine is doing exactly what it was told. Miss this and you tear into a healthy unit, replace good parts, and bill for a repair that was never needed. Catch it and you fix the call in minutes, look sharp, and save the customer money. The discipline is to check what was changed before you assume what failed. This card is the checklist and the mindset.

The mindset: check the easy cause before the hard one

The cheapest, fastest, most common cause of a complaint is a wrong input, not a failed part. Trained techs build a reflex: before pulling panels, confirm the equipment is actually being told to do the right thing with the right supply. A few minutes here saves an hour of misdirected diagnosis and an unnecessary parts bill. Always rule out the setting and the supply first.

Safety note on supply work

When you check supply - electrical, gas, water, fuel - respect that a wrong or mismatched supply can be a hazard, not just a nuisance. A wrong voltage, a cross-connected supply, or a mismatched fuel can damage equipment or hurt someone. If you find a supply that is the wrong type or rating, treat correcting it as a safety task: de-energize or shut off, verify, then fix. Do not just flip it on to "see if that was it."

The settings checklist

Walk the control side before the mechanical side. The usual culprits:

  • Wrong mode. A control set to the wrong function, the wrong cycle, the wrong program. The unit runs perfectly in a mode the customer did not intend.
  • A setpoint changed. A target value set too high, too low, or off entirely. Often bumped by accident or changed by a different household member.
  • A switch or breaker off. A disconnect, a dedicated switch, or a breaker that got turned off, sometimes during unrelated work, sometimes by the customer "to be safe."
  • A control bumped or stuck. A dial, lever, or button moved or jammed so the equipment is locked into a state.
  • A lockout or hold active. A control sitting in a protective hold, a timer, a delay, or a lockout the customer does not recognize and reads as "broken."

Confirm the control is asking for what the customer thinks it is asking for before you suspect the equipment cannot deliver it.

The supply checklist

Now confirm the equipment is being fed correctly:

Water Shutoff open, adequate pressure and flow, correct line connected

A common trap: the supply was turned off during other work (a remodel, a different repair, a "let me shut this off") and never turned back on. The equipment is fine; it is starved.

How to tell a changed-input from a real fault

The distinction is usually quick:

  • Changed input: the equipment is healthy and simply being told the wrong thing or fed the wrong supply. Correct the input and it runs normally with nothing replaced.
  • Real fault: the input is correct and the equipment still will not perform. Now you diagnose the hardware.

If correcting the setting or supply fixes it, you are done, and you should be glad it was that and not a part. Verify the fix holds, then explain it.

Handle it without embarrassing the customer

Finding that the customer flipped a switch or changed a setting is delicate. They may feel foolish. Defuse it:

  • Normalize it. "This one gets everybody, that switch looks like it should be on" gives them an easy out.
  • Attribute to the situation. "This was set to the wrong mode" beats "you set it wrong."
  • Teach the recovery. Show them the right setting and how to get back to it, so they are equipped next time and do not feel talked down to.
  • Be fair on the bill. A quick fix is a quick fix; decide your charge against what you actually delivered and what was promised, and explain it.

The judgment to bank: most complaints are wrong inputs, not failed parts. Check the setting and the supply before you suspect the hardware, treat a wrong supply as a possible hazard, and when it turns out to be a flipped switch, fix it, teach it, and spare the customer's pride.
