The What-Could-Go-Wrong Pre-Job Scan

Why this matters

Most jobs that go sideways were predictable from the doorway. The corroded shutoff that snaps, the wall that holds a surprise, the access that needs two people instead of one, the part that is obsolete. A five-minute scan that deliberately hunts for trouble before you quote turns those from blowups into priced line items or honest warnings. The goal is not to fear every job. It is to find the landmines while you can still walk around them.

Step 1: Walk it before you price it

Do this on the same visit, but as a separate pass. Quote the work first if you must, then walk the site again with one question in your head: what could turn this from a clean job into a long day? You are not looking at the work itself now. You are looking at everything around the work that could bite.

Slow down at the edges. The trouble is rarely in the middle of the job. It is at the connections, the access, the things you have to disturb to reach the work, and the condition of what you are tying into.

Step 2: Run the six-category scan

Walk these in order so nothing gets skipped under time pressure:

  • Access. Can you and your materials get to the work? Stairs, tight corners, low ceilings, locked rooms, a yard you cannot drive into. Two-person lifts. Anything that means more time or more bodies than the work itself implies.
  • Connections and tie-ins. What you have to disturb to do the work. The old shutoff you must close, the corroded fitting you must break loose, the brittle wire you must move, the duct you must reopen. These fail when touched. Assume the worst component is the one you have to disturb.
  • Hidden conditions. What is behind the wall, under the floor, above the ceiling. You cannot see it, so you price for the likely case and write an assumption. Older buildings hide more.
  • Condition and age. Is the existing system standard and serviceable, or old, modified, obsolete, or done wrong by someone else? An old or non-standard system carries surprises a new one does not.
  • Materials and parts. Can you get what this needs? Obsolete sizes, discontinued components, special-order items, anything that turns a same-day job into a wait.
  • People and site. Pets, kids, an occupied space, a customer who will hover, parking, the utility shutoff you cannot reach without a call. The non-technical friction that still costs time.

Step 3: Sort what you find into three buckets

Not every risk gets the same treatment. Triage:

  • Price it. A real, likely cost you can size now. The two-person lift, the upstream section you can already see is shot. Put it on the estimate as a line item.
  • Assume it. A condition you cannot confirm but can bet on. Write it as an assumption: "priced assuming existing connections are serviceable." If reality is worse, the assumption is your hook to re-quote.
  • Warn it. A possibility you cannot price and cannot rule out. Tell the customer plainly before the job: "If we open this and the line behind it is corroded, that's additional, and I'll stop and show you before doing anything." Said up front, it is professionalism, not an excuse.

Step 4: Probe the high-risk items before you commit

If one item could swing the whole job, spend two minutes confirming it now rather than discovering it later:

  1. Touch the thing you will have to disturb. Try the shutoff gently. Flex the wire. Tap the fitting. If it is brittle or seized, you just learned the job is bigger.
  2. Open the small access you can. A panel cover, a cleanout, an inspection point. A two-minute look beats a two-hour surprise.
  3. Confirm the part is available. A quick check on the obsolete-looking component before you promise a timeline.

Step 5: Build what you found into the quote

The scan is wasted if it stays in your head. Convert it:

  • Priced risks become line items.
  • Assumed risks become an assumptions block on the estimate.
  • Warned risks become a sentence you say out loud and, ideally, write down.

A customer who hears the honest version on the front end trusts the change order on the back end. A customer who hears nothing feels ambushed.

What good looks like

You walked the site twice. You ran all six categories. Every surprise you could find is now a line item, an assumption, or a stated warning. Nothing about the job can blow up without you having flagged it first. That is a scan that paid for itself.
