The Truck Restock SOP
Purpose
A standard operating procedure (SOP) is the written, repeatable process everyone follows the same way, so a truck is stocked the same regardless of who loaded it. Truck restock is the routine that keeps every service vehicle at a known par level, the set quantity each item should carry, so a tech is not one missing fitting away from a return trip to the shop. A truck that leaves short costs a wasted drive, a delayed job, and sometimes a callback. This SOP defines how trucks are counted, replenished, and reconciled so stock stays right and inventory stays honest.
Scope
Applies to every service vehicle on a set cadence, plus after any job that draws down stock heavily. Covers counting against par, pulling replenishment, recording usage, and staging special-order parts for the next day. It does not cover the shop's overall inventory purchasing, only what moves between the shelf and the truck. Each tech owns their truck's count; the parts lead owns the shelf it pulls from.

Procedure
1. Work from a written par list per truck
Every truck has a written par list: what it carries and how many of each. Restocking without a par list is guessing, and guessing is how one truck runs heavy on parts it never uses while running out of the ones it needs daily. The list is the standard the count is measured against.
2. Record usage as it happens
The cleanest restock is one where usage was already logged on each job. When a tech uses a part, it gets recorded to that job. Do this in the field and the restock becomes a quick top-off instead of a memory test at the end of the week. Unrecorded usage is where both inventory accuracy and job costing quietly break.
3. Count against par on the set cadence
On the schedule (daily for high-turn trucks, weekly for others), count each item against its par and note the gap. A consistent cadence is what keeps a slow leak of stock from becoming an empty bin discovered at a customer's door. Count the same way every time so the numbers mean something.
4. Pull replenishment against the count
Restock the truck back up to par from the shop shelf, pulling exactly what the count says is short. Record the transfer so the shelf inventory drops as the truck rises. Both counts have to move together or the shop's numbers drift out of reality.
5. Flag shortages and dead stock
Note two things the count reveals: items the shop was out of when you went to replenish, and items that never move. Shortages tell the parts lead what to reorder; dead stock tells the manager a par level is set too high. Both feed better par lists over time.
6. Stage special-order parts for tomorrow's jobs
Restock is not only pars. Pull and stage the specific parts tomorrow's scheduled jobs need, matched to those jobs, so the tech is not hunting at dawn. A job with its parts staged the night before starts on time.
7. Keep the truck organized so the count stays honest
A disorganized truck cannot be counted accurately, and a count you cannot trust makes the whole SOP pointless. Everything in its place means the next count is fast and the tech can find the part on site. Organization is not neatness for its own sake; it is what makes the inventory numbers real.
Watch out for
- Restocking without a par list. Guessing loads the truck wrong in both directions.
- Not recording usage. Unlogged parts break both inventory and job costs.
- Skipping the cadence when busy. The busy weeks are exactly when trucks run short.
- Par levels that never get adjusted. Dead stock and repeat shortages both mean a number needs changing.
