The Trigger Is Something the Customer Changed Recently: Decision Tree

Why this matters

When a system that worked for years suddenly acts up, something changed. The customer will swear nothing did, because the change they made did not look related to the symptom. A new appliance on the same circuit, a filter swapped for the wrong size, a setting someone bumped, a renovation that blocked an air path: these break things days or weeks later, long after anyone connects the two. Finding the change is often faster than chasing the symptom.

Start here: what is different since it last worked right?

The framing question is not "what's wrong" but "what changed." Pin down the last time it worked correctly and the first time it did not. The trigger lives in that window. Then walk the change categories from most common to least.

Branch 1: A new load or device was added

The most common unconnected change is a new draw on a shared resource.

  • Electrical: a new appliance, heater, or charger on an already-loaded circuit trips a breaker that was fine for years. Ask what got plugged in.
  • Plumbing: a new fixture, a water softener, or an added bathroom drops pressure or starves the water heater.
  • HVAC or pool: a second unit, a new pump, or an added zone shifts the balance.

If a device was added near the onset, test with it disconnected.

Branch 2: A part or consumable was substituted

  • Wrong filter (thick, high-restriction, or wrong size) chokes airflow and freezes a coil or overheats a furnace.
  • Wrong replacement part installed by the customer or another trade: a valve, a fitting, a fuse of the wrong rating, a lamp or ballast that draws differently.
  • A different chemical or product in pool and plumbing systems that attacks a seal or shifts water chemistry.

Check the part against spec, not against "it looks the same."

Branch 3: A setting or control was changed

  • A thermostat schedule, a mode, or a setpoint someone bumped.
  • A valve throttled, a damper closed, a bypass left open after service.
  • A timer or a breaker someone reset "to be safe."

Settings changes are invisible on inspection. Ask who touched the controls.

Branch 4: Work was done by another trade

A renovation or another contractor's visit is a large source of unconnected faults.

  • A remodel that blocked a return-air path, buried a cleanout, or covered a junction box.
  • A different tech's repair that left a bypass, a wrong setting, or a disturbed connection. Watch for the swap that "fixed" a fault only because the act of reseating a connection disturbed it, not because the part was the cause.
  • New flooring, insulation, or drywall that changed airflow, access, or venting.

Ask what work has been done in the space recently, by anyone.

Branch 5: The environment or routine changed

  • A new habit: running equipment longer, closing a door that was open, a seasonal switch in how the system is used.
  • A change outside: new landscaping over a condenser, a graded yard now draining toward the house.

If nothing changed and it never worked right

If you truly find no change, consider that it never worked correctly and the customer only now noticed or lost patience. That is a design or install fault, not a failure, and it is a different conversation and a different fix. Do not chase a wear-out failure on a system that was wrong from day one.

  3. Test with the suspected change reversed where you can.
  4. No change plus never-right equals a design fault, not a repair.
