The Generator and Backup Power Plan for Your Own Operation
Why this matters
When the grid goes down across your service area, your customers need you more than usual, and that is exactly the moment your own office can go dark along with everyone else's. A shop that has not planned its own backup power loses phones, dispatch, and access to the schedule at the worst possible time, competing for attention against every other business also trying to get back online. This is not about sizing a generator for a customer's home, it is about keeping your own operation functioning through the exact event your customers are calling you about.
Identify what actually needs power to keep functioning
Do not plan around powering the whole office. Identify the specific systems that are load-bearing for running dispatch and communication during an outage.
- Phones and internet, since you cannot coordinate a crew you cannot communicate with. If your phone system depends on internet service, confirm both are covered, not just one.
- The device and software you use to see the schedule and customer records. A single laptop with a charged battery and a cellular hotspot can cover this for a short outage even without a full generator setup.
- Any refrigeration or climate-sensitive inventory your shop holds that would be damaged by an extended outage.
Trying to power everything equally usually means underpowering the systems that matter most. Rank them, then size backup power to the top of the list first.
Match the backup power option to your actual operating needs
A shop's backup power plan does not have to mean a large, permanently installed generator. Match the solution to what you actually identified as load-bearing.
- A small portable unit or battery backup may fully cover phones, a router, and a laptop for a short-duration outage, and it is far simpler to maintain and fuel than a larger system.
- A larger backup generator makes sense if your operation genuinely depends on more infrastructure (a server room, refrigerated inventory, powered shop equipment you need to keep running).

Fuel and maintenance are the plan, not an afterthought
A generator that has not been started in a year, or that has no fuel on hand when the outage hits, is not a backup power plan, it is an unverified assumption.
- Test it on a schedule, not only when you suspect you might need it soon. A generator that fails to start the one time you actually need it is worse than not having one, because you may have skipped other preparation assuming it would work.
- Keep a minimum fuel reserve on hand sized to your realistic outage duration, and rotate it so stored fuel does not degrade past usability.
- Know your run time at your actual expected load, not the manufacturer's best-case rating, so you are not surprised partway through a multi-day outage.
Plan for competing demand on fuel and rental units
During a widespread outage, fuel and rental generators are exactly the kind of item every business and household in the area is also trying to secure at once.

- If fuel supply is disrupted along with the grid, know your rationing priorities in advance: your own operation's minimum needs first, since you cannot help customers if you cannot function.
Decide who is responsible for activating the plan
A backup power plan with no named owner does not activate itself under pressure.
- Assign a specific person responsible for starting, fueling, and monitoring backup power during an outage, with a named backup in case that person is unavailable.
- Make sure more than one person actually knows how to start and safely operate the equipment. A plan that lives in only one person's head is not resilient to that person being unreachable during the exact event it is meant for.
Revisit the plan after every real outage
Your own experience during a real event is the best test of whether the plan actually works.
- Note how long backup power actually lasted against what you needed, and adjust your fuel reserve or unit size accordingly.
- If the plan failed to activate cleanly (nobody knew where the unit was, it would not start, fuel was stale), fix the specific gap rather than assuming it will go better next time by default.
