Store Everything in the Cloud or Keep It Local: Decision Tree

Why this matters

Where your business data physically lives, on a provider's servers you reach over the internet or on a computer and drives in your own office, shapes how you work every day. Cloud means access from any device anywhere and someone else running the servers, at the price of depending on the internet and a vendor. Local means you hold everything and answer to no one, at the price of running it all yourself. For a mobile field-service shop the answer is usually cloud, but "usually" is not "always," and picking without understanding the trade leaves you either stranded without a signal or maintaining a server you did not need. This tree walks you to the fit for how your shop actually works.

Start here: define the two clearly

  • Cloud storage means your data sits on a provider's servers, reached over the internet through an app or a browser. The provider runs and secures the hardware; you reach your data from any connected device.
  • Local storage means your data sits on a machine or drive you own and physically hold, typically in your office. You control it completely, and you are responsible for all of it.

Most shops are not fully one or the other. The real question is where your primary system of record lives.

Branch 1: does the field need the data

The biggest driver, and for field service it usually points one way. If techs, dispatchers, and the office all need the same live data from different places, trucks, homes, the shop, a second location, cloud is the natural fit, because everyone reaches one current copy from any device. If the data never needs to leave one desk in one office, local can serve fine, and the case for cloud weakens. A shop with people spread across the map lives on shared access; a one-desk operation may not need it.

Branch 2: how is your internet

Cloud depends on connectivity, so be honest about yours.

  • If your office and service area have reliable internet, cloud runs smoothly and the dependency is low-risk.
  • If your connection is spotty, or techs work in dead zones (rural routes, basements, mechanical rooms), pure cloud will strand them at the worst moment. Connectivity does not usually push you all the way to local; it pushes you to demand offline capability from your cloud tools.

Branch 3: who is going to run it

This is the hidden cost people forget. Servers do not run themselves.

  • Cloud puts the maintenance, security patching, and hardware failures on the vendor. For a shop with no IT person, that is the whole appeal: it is someone else's job to keep it running and backed up.
  • Local puts all of that on you. The updates, the failed drive at midnight, the backup rotation, the security. If you do not have someone who will actually own it, local data is a disaster waiting for a busy week.

Most small shops have no one to run a server well, which is why cloud wins for them regardless of the other branches.

Branch 4: control, portability, and cost shape

The remaining trade-offs, worth naming.

  • Control: local gives you total control and total responsibility; cloud gives you convenience and a dependency on a vendor.

  • Cost shape: cloud is typically an ongoing subscription that scales with use; local is a larger upfront outlay for hardware plus the ongoing time to maintain it. Neither is automatically cheaper; they spend differently, and the local "savings" often hides the cost of your own time keeping it alive.

When to pick which

  • Pick cloud when your people are mobile, you have no one to run servers, and you want the vendor to carry maintenance and backups. This is most field-service shops. Demand offline capability and a clean export before you sign on.
  • Pick local when your work is genuinely single-location, you have someone who will own the upkeep, or a firm requirement forces you to hold the data yourself. Go in knowing the backup and security burden is entirely yours. See related: Backing Up Your Business Data.
  • Pick a hybrid when it fits: cloud for the shared, mobile system of record, a local copy for the archive or the offline fallback. The export you keep for safety is itself a local copy of cloud data.

  1. Define which system of record you are placing, not every file.

  3. Check your connectivity, and if it is weak, demand offline sync rather than going local.
