Separating a Workmanship Defect From a Part Failure

Why this matters

When something you installed fails, the failure is either in how you installed it or in the part itself, and the two route to completely different places. A workmanship defect is your cost, funded from your own warranty. A part failure is the manufacturer's cost, recovered by filing their claim, with only the labor left as your policy question. Call a bad part "workmanship" and you eat money the factory owed. Call your bad install a "part failure," file a claim, and the manufacturer denies it, leaving you exposed and looking careless. This card is how to tell the two apart at the unit, and why the answer decides who pays.

The two failure modes, defined

  • A workmanship defect is a failure caused by how the work was done: a connection made wrong, a fitting sealed poorly, a part misaligned, over-stressed, or set up in a condition that killed it. The part may be fine; your hands are the cause.
  • A part failure is a failure inside the component itself: a manufacturing flaw, a bad batch, an infant-mortality quit out of the box, a component that failed on its own with nothing wrong in how it was installed.

The component can be perfect and still fail from bad workmanship. The install can be flawless and the part can still be defective. Your job is to read which one happened, because the customer cannot and the manufacturer will not take your word for it.

Read the location and pattern of the failure

The single most useful tell is where the failure sits relative to your work.

  • Points to workmanship: the fault is exactly at a point your hands touched. A joint you made, a termination you landed, a fastener you set, a seat you seated. The rest of the component is healthy; the failure clusters at the interface you created.
  • Points to a part failure: the fault is internal to the component, away from any connection you made. The thing you installed correctly failed inside itself, where your workmanship never reached.

Check the conditions you set

A part can fail from being installed into the wrong conditions, and that is workmanship wearing a part-failure costume. Before you blame the component, confirm you gave it a fair environment.

  • Was it sized correctly, fed the right supply, aligned, torqued to spec, and not starved, flooded, or strained by how the job was set up.
  • If a condition you created (bad supply, wrong sizing, misalignment) stressed the part to failure, the manufacturer will deny the claim and they will be right. That is a workmanship defect even though the part is what broke.
  • If the conditions were correct and the part still failed internally, you have a genuine part-failure case worth filing.

Measure the conditions against the nameplate or spec before you decide. A claim filed on a part you stressed to death is a claim that comes back denied.

Isolate before you conclude

When location and conditions do not settle it, isolate.

  • Swap or bench-test the suspect part where practical. A replacement part that works perfectly in the same install points to a real part failure. A replacement that fails the same way points back at your install or the conditions.
  • Check siblings. If identical parts installed the same way on the same job are fine and one failed internally, that favors a part defect. If the way they were all installed shows the same problem, that favors workmanship.
  • Look for the batch signal. Several of the same component failing the same way across jobs is a product issue, not your hands.

File the manufacturer claim yourself when it is a genuine part failure. It is your job, not the customer's, and it recovers a cost that is not yours to eat. But file only what is real. A pattern of denied claims tells the manufacturer you cannot tell your own misses from their defects, and that reputation costs you goodwill on the borderline claims where you need it.

The principle to keep

The failure is either in your hands or in the part, and the honest read routes the money to the party who owns it. Read the location, confirm the conditions, isolate when unsure, then send the part failure to the manufacturer and keep the workmanship defect on your own books. Doing that consistently is what keeps both your reserve and your manufacturer relationship intact.
