Multi Trade Symptom Take Ownership vs Refer Decision Tree
Why this matters
A customer calls one trade for a symptom that turns out to span two or three. The HVAC tech finds the real problem is a plumbing leak under the air handler. The plumber finds the real problem is an HVAC condensate drain backing up. The electrician finds the real problem is an undersized service caused by an unauthorized appliance install. Each of these moments is a fork in the road: take ownership of the cross-trade scope, refer to the right trade and disengage, or document and pass back to the customer. The decision affects revenue, liability, customer satisfaction, and your relationship with sister-trade businesses. Getting it wrong leaves the customer in a finger-pointing loop between contractors; getting it right closes the work in a single call and earns referrals from the trade you handed off to. This tree gives the protocol.
Symptom presentation
Three common scenarios. First, the call is your trade but the diagnosis is another trade: a no-cool call that turns out to be a tripped breaker the customer cannot reset because of a wire fault, a no-hot-water call where the gas valve is fine but the gas pressure at the meter is too low, a slow-drain call where the problem is the venting in the attic. Second, the call is partially your trade: the failure spans two trades and neither alone can fix it. A water-damaged subfloor with both the plumbing leak source and the framing repair both required. Third, the call is in scope but the customer asks you to evaluate or fix something adjacent that is not.
Quick checks at the door
Take the original call ticket and verify the customer's stated symptom matches what you find. If different, document the difference. Identify whether your trade can fully resolve the symptom: do you have the licensing, certification, insurance, and equipment to do the work the diagnosis requires? Identify whether the other trade involved is one you have a referral relationship with or one you handle in-house through a sister-trade division. Identify whether the customer can wait for a second contractor or whether the situation is an emergency requiring immediate action regardless of trade boundaries.
Isolation tree
Branch A in-scope, resolvable on this visit: the call is your trade, you can resolve it, proceed with the original repair. No decision needed. Branch B out-of-scope, single trade handoff, non-emergency: the diagnosis is in a different trade entirely (electrical issue on a plumbing call, structural issue on an HVAC call). Action is document the finding, provide the customer a written diagnostic report with photos, refer to a specific trade contractor (preferred if you have a referral relationship), bill for the diagnostic time, do not attempt repair outside your trade scope. Crossing into another licensed trade without proper licensure exposes you to disciplinary action by your state board and voids your insurance on that portion of work. Branch C out-of-scope, emergency life-safety: the diagnosis reveals a life-safety hazard (gas leak, electrical arc fault, structural failure, active flood). Action is mitigate the immediate hazard within your authority (shut gas at the meter, kill power at the main, shut the water main), notify the customer and any required authorities (gas utility for a leak), refer the repair to the appropriate trade. Document everything. Even outside your trade, you may have a duty to mitigate the hazard if you discover it. Branch D multi-trade scope, sister-trade in-house: the work spans two trades and your company has both divisions. Bring the second division in on this visit if scheduling allows, or schedule a coordinated visit. Document the original symptom and the expanded scope. Branch E multi-trade scope, sister-trade external: the work spans two trades and you only do one. Discuss the situation with the customer, present the options: (1) you complete your portion now, they engage the second trade separately, (2) you coordinate a recommended second trade for them, (3) you defer your portion until the second trade is engaged. Document the choice in writing. Branch F customer asks you to evaluate adjacent work outside your trade: do not provide opinions outside your trade scope. Refer to the appropriate trade. A friendly answer that turns out wrong is your liability.
Confirming diagnosis
Multi-trade involvement is confirmed when the resolution path crosses a licensed-trade boundary. State licensing typically draws clear lines: electrical work requires an electrical license, plumbing work requires a plumbing license, structural work may require a contractor license, HVAC work may require an HVAC license and EPA 608. Refrigerant work requires EPA 608 regardless of trade. Gas line work requires varied state licenses. Trade-boundary research is the contractor's responsibility; do not assume your license covers something it does not.
Remediation
In-scope only: proceed with the original repair. Single trade handoff: document the diagnostic finding with photos and a written report, present to the customer, refer to a specific contractor or category. Bill for the diagnostic time. If you have a referral arrangement, follow it; transparent referrals build relationships, undisclosed kickbacks do not. Emergency life-safety: mitigate within your authority, notify the customer and authorities, refer the repair. Document. Multi-trade in-house: coordinate the second division, present a unified scope and price to the customer, schedule the work. Multi-trade external: document and present the customer the options in writing, let them decide, complete your portion accordingly. Customer asks for adjacent evaluation: politely decline outside your trade scope, refer to the appropriate trade. Never give an estimate or written opinion outside your license.
