Improper Installation Exclusion: Proving or Disproving It, Decision Tree
Why this matters
Improper installation is the single most common warranty exclusion category, and it is also the one most often decided sloppily, either assumed because the installation looks old or unfamiliar, or dismissed because it is inconvenient to prove. Getting this one right matters because it usually decides who pays, and because the physical evidence you need often degrades or gets disturbed the moment you start working. Before any of that: if checking clearances, connections, or mounting means working near an energized circuit, a pressurized line, or an unstable mount, de-energize, relieve pressure, or secure the load first. Proving an installation exclusion is never worth a shock, a spray, or a component falling on you.
Start here: define what "proper" means for this specific unit before you check anything
You cannot assess an installation against a standard you have not identified. Before inspecting, confirm the specific requirement in play, the clearance distance, the required connection method, the mounting or bracing spec, the setup parameter, from the manufacturer documentation or the applicable code, not from general habit or "how it's usually done." Checking against the wrong standard produces a confident, wrong answer in either direction.
Step 1: check whether the installation matches the requirement, as found
- Measure, don't eyeball, wherever a number is specified. Clearance, distance, and sizing requirements are all measurable; measure them and record the actual figure, not just "looked fine" or "looked tight."
- Photograph before you touch anything. Once you move a component, adjust a connection, or clean an area to get a better look, you have altered the evidence. Get the photo first.
- Check for evidence the installation has been altered since the original setup. Mismatched fasteners, non-original components, or connection points that look reworked can mean the original installation was fine and something changed later, which is a different finding than the original install being wrong.
Step 2: separate "outside spec" from "caused this specific failure"
This is the step people skip, and it is the one that actually proves or disproves the exclusion. An installation detail can be outside spec without being the cause of the failure in front of you, and confirming both matters, not just the first one.

A shop that stops at "found something out of spec, exclusion applies" without connecting it to the actual failure mechanism is building a case that will not hold up if it is challenged.
Step 3: if you find nothing wrong with the installation
Document the specific measurements and connections you checked and that they matched requirements, not just the absence of a problem. "Clearances measured and found within spec; connections consistent with proper method" is a real finding. This documentation is exactly what disproves the exclusion later if anyone raises the question, and it is far more useful than silence on the topic.
Step 4: communicate the finding factually either way
If the exclusion is supported: "the installation shows X, measured at Y against a required Z, and the failure pattern is consistent with that condition." If it is not: "the installation was checked against the required specifications and found to match; this does not appear to be an installation-related exclusion." Either statement, backed by a specific measurement, is more credible and more useful to the customer than a general impression stated with confidence but no number behind it.
