Field Tablet vs Phone Only Decision
Why this matters
Every field service business hits this question once they outgrow a clipboard: should we put a tablet on the truck, or is the tech's phone enough. The wrong answer in either direction creates friction. Phone-only shops force techs to read schematics on a 6-inch screen and sign customer authorizations on a screen too small for an adult fingertip; the customer experience degrades. Tablet-everywhere shops buy hardware that gets dropped, lost, or left in the truck, while the tech still pulls out their phone for everything because it is in their pocket. The honest decision depends on what work is happening on the screen, what the customer sees, the durability requirements, and whether you can enforce that the tablet actually gets used. This article frames the decision factors and the implementation patterns that make each choice work.
What the screen is actually used for
Audit a week of field-tech screen use. The five common activities:
- Reading the work order or schedule (low screen demand; phone fine)
- Diagnostic procedures, wiring diagrams, schematics, OEM technical bulletins (high screen demand; tablet wins)
- Pricing presentation to the customer (high screen demand; tablet visibly wins on customer experience)
- Capturing photos and signatures (either works; phone often actually better because the camera is better on a current phone than a current tablet)
- Communication with dispatch and the customer (phone wins; it is also the radio)
A shop where the work is primarily activities 1 and 5 (simple service calls, maintenance, no complex diagnosis) is fine phone-only. A shop where activities 2 and 3 dominate (HVAC equipment install with manufacturer documentation, complex commercial work, high-ticket residential sales presentation) benefits significantly from a tablet.
Decision factor one: the customer-facing pricing presentation
This is the single biggest decision driver for residential service shops. A tablet-presented quote with photos, line items, financing options, and a signature box closes at a measurably higher rate than the same quote read off a phone or written on a paper triplicate. The customer sees a professional presentation, has time to read, and signs on a screen they can actually see.
If your average ticket is high enough that incremental close rate matters (HVAC install, water heater replacement, electrical panel upgrade, anything over a few hundred dollars), the tablet pays for itself fast. If your average ticket is small (small repair, drain cleaning, simple service), the close rate difference is smaller and phone-only may be fine.
Decision factor two: the OEM documentation problem
Reading a 14-inch wide wiring schematic on a 6-inch phone is bad work. You zoom in to read a wire color, lose your place, pinch out, lose it again. On a 10-inch tablet you read the schematic the way it was designed to be read.
If your trade involves significant time reading OEM documentation (HVAC equipment install manuals, electrical service manuals, plumbing fixture install instructions, appliance repair tech bulletins), the tablet pays for itself in reduced diagnostic time and reduced errors. Some manufacturers (Carrier, Trane, Lennox, GE Appliances) publish tech bulletins designed for tablet viewing and even publish tablet-specific apps.
If your trade is primarily code-based and the codebook fits on a phone (plumbing rough-in, simple electrical service work), tablet is less critical.
Decision factor three: durability and the drop problem
Tablets get dropped. From the truck step, from a ladder, off the kitchen counter. A consumer iPad in a basic case has a measurable failure rate per year in field service use; a ruggedized case (Otterbox Defender, Pelican Voyager, Targus Commercial Grade) brings the rate down dramatically. Industrial-rated tablets (Panasonic Toughbook, Samsung Galaxy XCover, Zebra ET40) brings it down further but at higher acquisition cost.
A reasonable approach:
- Consumer-grade tablet (iPad, basic Samsung) + ruggedized case: works for shops where the tablet stays in the truck most of the time and only comes out for documentation and customer presentation.
- Industrial-rated tablet: appropriate for shops where the tablet goes everywhere the tech goes (commercial mechanical contractors, large-equipment installs, jobsite construction).
Either way, screen protectors. A scratched screen on a customer-facing device looks unprofessional.
Decision factor four: connectivity
A tablet without LTE is a tablet that requires the tech's phone hotspot. That mostly works; modern phones handle hotspot well, but the tech's battery suffers and the hotspot drops in basements and crawl spaces.
A tablet with cellular: $10 to $25 per month per device on most carrier multiline plans. Worth it for tablets used heavily for documentation and customer presentation. Skip it if the tablet is used only at the truck and the tech can step outside to the truck for hotspot.
For shops in spotty-coverage rural service areas, offline-capable FSM apps matter more than tablet vs phone. The decision tree above does not change; the FSM choice does.
Decision factor five: who pays for the device
Three patterns:
- Company-issued: company owns the device, the device only does work things. Cleanest from a security and policy standpoint. Higher upfront cost.
- Company-stipend: company gives the tech a monthly device stipend, tech buys and uses their own. Works for phones, less well for tablets (techs are less likely to buy a personal tablet with their own money).
- BYOD: tech uses their own personal device. Cheapest, hardest for security and data control. Increasing exposure under state data privacy laws.
The IRS has guidance on cell phone stipends as a working-condition fringe under IRS Notice 2011-72, which clarified that employer-provided cell phones primarily for noncompensatory business reasons can be excluded from employee wages. Stipends for personal-phone business use are generally taxable unless documented as accountable-plan reimbursement under IRC section 62(c) for actual business use.
The hybrid pattern that works for most shops
The pattern most growing shops settle on:
- Every tech has a company phone (or stipend for personal phone use) for communication, photos, and quick work order interaction.
- Every truck has a tablet (company-issued, ruggedized) for customer presentation, OEM documentation, and signature capture.
- The FSM app runs on both, syncing in real time.
- The tablet stays in the truck during simple work and comes out for diagnostic, presentation, and signature.
