Just Did Full Service But Callback Within a Week: Post-Service Decision Tree

Why this matters

A full service was completed: exterior perimeter, interior crack and crevice, monitor placements, customer briefing. The callback comes inside seven days. The tech on the next visit has to sort an honest read from a defensive one fast, with the customer watching.

Wrong reads cost in different directions. Treating every callback as warranty failure and re-treating for free trains customers to expect a return visit every time they see a single bug. Treating every callback as "expected flush, give it more time" misses real failures and the cancel arrives a month later.

This tree separates the within-a-week patterns: expected flush, scope mismatch, customer interference, untreated source pressure, and true product or technique failure.

Knowing what each pattern looks like

Each pattern has a signature on the next inspection. Match the signature, not the customer's words.

  • Expected flush. Increased visible activity within 72 hours, concentrated near treated harborage, with dead or dying specimens present. Normal for non-repellent baits and several residual applications.
  • Scope mismatch. Activity in an area that was not part of the original treatment, a species different from the original target, or activity that traces to a source outside the original service zone (adjacent unit, exterior harborage, attic or crawlspace not entered on the first visit).
  • Customer interference. Treated surfaces have been mopped, sprayed over with retail product, or scrubbed. Monitor stations have been moved or removed. Pets or children have accessed treatment zones in ways that disrupted bait or residual.
  • Untreated source pressure. Activity has resumed at the same location, with no dead specimens, in a property where a strong external source (neighbor, exterior harborage, structural void) was identified on the first visit and either not addressed or only partially addressed.
  • True product or technique failure. Live healthy activity at day 5-7, no dead specimens, in the original treatment zone, with the original target species, on a property with no untreated source pressure and no customer interference.

The decision tree

Ask these in order on the callback intake or first re-inspection observation. Stop at the first match.

  1. Is the activity within 72 hours of service, in the treated zone, on the original target species, with dead or dying specimens visible? This is expected FLUSH. Confirm to the customer, document the window, set a follow-up at day 10-14 to verify the kill.

  2. Has the customer cleaned, mopped, or applied retail product to the treated surfaces? GO TO interference path. Treatment was disrupted before the active ingredient could do its work.

  3. Are monitor stations missing, moved, or visibly tampered with? GO TO interference path. The program lost its read on activity even if the chemistry worked.

  4. Is the activity in an area NOT inspected or treated on the original visit (attic, crawlspace, garage, exterior zone the customer declined)? GO TO scope-mismatch path.

  5. Is the active species different from the original target (German cockroach service shows American cockroach activity, ant service shows roach activity)? GO TO scope-mismatch path. Different species means different inspection, different product, often different scope.

  6. Is the activity concentrated at a known untreated exterior source (mulch beds, woodpile, untreated neighbor unit, structural void access)? GO TO source-pressure path.

  7. Is the activity in the treated zone, on the original target, with no dead specimens, no customer interference, and no untreated source pressure, at day 5-7 post-service? GO TO product-or-technique-failure path.

  8. Is the callback at day 8-14 with renewed activity? This is not a post-service event by the strict definition. Run a fresh recurrence inspection rather than triage it as a warranty callback.

Interference path

The customer disrupted the treatment, often unintentionally. They mopped the kitchen floor and removed the perimeter band. They sprayed retail product over a bait placement. They moved a monitor station because it was visible.

Action: re-treat disrupted surfaces, replace monitors, brief the customer on what not to mop, what not to spray over, where stations stay. Generally a no-charge re-treat the first time with a documented coaching event. Second time on the same property, the conversation shifts to whether the service can be effective given the customer behavior.

Scope-mismatch path

The original service did not cover the active source. The most common variants:

  • Untreated room or zone. Customer declined access on first visit ("the baby is sleeping, skip the nursery"), tech deprioritized a room that turned out to be the harborage, or a service tier was sold that did not include the area where activity is now visible.
  • Different species. Original inspection misidentified the target or did not detect a second species sharing the property.
  • Adjacent multi-family unit. Activity migrates from an untreated neighbor through shared walls, plumbing chases, or common HVAC.
  • Exterior source. Indoor service when colony or harborage is exterior.

Action: re-inspect with full scope on the now-active area. This is typically a chargeable scope expansion, not a warranty re-treat, but the conversation depends on what was clearly sold. Document the gap between original scope and the now-known source.

Source-pressure path

The treatment worked. Pressure exceeds what the chemistry can hold. Common drivers: untreated neighbor in shared-wall property, exterior harborage right next to a treated entry, weather-driven indoor migration.

Action: address the source if possible. On-property sources (mulch against foundation, vegetation touching siding, woodpile, structural void) get conducive-conditions corrections. Off-property sources (neighbor, municipal vector) get documented and discussed as a service cadence change rather than a single re-treat.

Product-or-technique-failure path

Reached only when the path above is ruled out. The treatment did not work and the reason is on the service side. Investigate:

  • Product class match to species and life stage. German cockroaches at high pressure on a gel bait alone may need a residual partner. Mature bed bug populations under a pyrethroid-only program may be on a resistant strain.
  • Application coverage. Crack and crevice missed key harborage. Perimeter band broken at a downspout, garage door threshold, or utility penetration.
  • Mixing or calibration error. Tank not agitated, wrong dilution, expired product.
  • Resistance. Documented for cockroaches, bed bugs, ants on specific actives in specific regions.

Action: re-treat with a corrected approach. Document the diagnosis honestly. This is a warranty re-treat at the service's cost. A pattern of these on the same route is a coaching or training event for the tech, or a product rotation decision for the route.
