Customer Says They Smell Mold But See None: Translation Decision Tree

Why this matters

A musty smell with no visible growth is the most common call that turns into a missed source. The odor is real: the microbial volatile organic compounds (MVOCs) that produce a musty smell come from active fungal metabolism, and the human nose detects them at parts-per-billion concentrations long before a colony is large enough to see. If you walk a job, find nothing on the surfaces, and tell the customer "there is no mold," you have translated their report incorrectly. The correct translation is "active growth exists in a location I have not opened yet." Closing the ticket on a visual-only pass is how a contractor ends up back on the same property in ninety days with an angry occupant and a worse colony behind the drywall.

Symptom presentation

The customer reports a musty, earthy, or "old basement" smell that is strongest at certain times: after rain, when the HVAC runs, in the morning, or near a specific wall, closet, or cabinet. They have looked and found nothing, or they found a faint stain they cleaned that came back. Key qualifiers to capture: is the odor constant or intermittent, does it track with the air handler cycling, and does it concentrate at floor level (heavier-than-air growth gases pooling low) or near a register (HVAC-borne).

Quick checks

  • Walk the perimeter with your nose at three heights: floor, mid-wall, ceiling. MVOCs from a hidden wall cavity are usually strongest at outlet and switch plates, where cavity air leaks out.
  • Pull every accessible outlet and switch cover on suspect walls and smell directly into the box. A strong musty hit at one box localizes the cavity.
  • Scan suspect walls with a non-invasive moisture meter (pinless, scan mode). Note any reading elevated above the dry baseline you established on a known-good wall of the same construction.
  • Check the HVAC: open the return, smell the filter and the blower compartment, and feel the supply registers for the odor riding the airstream.
  • Look for the water history: sinks, dishwashers, washing machines, water heaters, window wells, and roof penetrations above the smell.

Isolation tree

Start at the strongest odor point and branch:

  1. Odor strongest at outlet/switch boxes on an exterior or plumbing wall -> suspect in-cavity growth from a slow leak or vapor drive. Confirm with moisture mapping; if elevated, plan a small inspection opening at the lowest point of the wet zone.
  2. Odor strongest at HVAC registers and rises when the system runs -> suspect coil, plenum, or duct contamination. Trace the system, not the envelope. Inspect the evaporator coil and drain pan first; a fouled coil is the single most common HVAC odor source.
  3. Odor strongest at floor level in a slab or crawlspace-over room, worse after rain -> suspect subfloor, crawlspace, or sill-plate growth driven by ground moisture. Open the crawlspace and check joists, subfloor underside, and insulation.
  4. Odor in a closed cabinet, closet, or behind built-ins with no measurable wall moisture -> suspect a contained pocket: a prior small leak that dried, leaving Condition 2 settled spores and residual MVOC, or trapped humidity with no ventilation. Inspect the back panel and corners.
  5. Odor everywhere, no localization, low and humid throughout -> suspect a building-wide humidity problem (no dehumidification, high indoor RH) seeding surface growth on cold surfaces rather than one source.

Confirming diagnosis

Do not declare a source on smell alone. Confirm with instruments and, where the cavity stays closed, with sampling. Establish an indoor RH and dew point reading; sustained RH above 60 percent will grow mold on its own. Where moisture mapping flags a cavity, a borescope through a small hole confirms presence before you commit to demolition. When a comparative air sample is warranted, follow ASTM D7391 spore-trap methodology: collect an outdoor reference, an indoor sample in the complaint area, and a control sample in a non-complaint room, then compare genera and counts. An indoor sample showing water-damage indicators (Stachybotrys, Chaetomium, Aspergillus/Penicillium-like spores) elevated over outdoor at the same time confirms a hidden active source even when nothing is visible. MVOC and ERMI testing can support a hidden-source hypothesis but are interpretive, not definitive, and should never replace finding and fixing the water.

Remediation

The translation drives the work order. You are not selling a clean; you are selling source location plus moisture correction plus appropriate remediation. Once the cavity or system is opened and growth confirmed, classify the condition per ANSI/IICRC S520 (Condition 2 settled spores versus Condition 3 actual growth), set containment sized to the area, establish negative pressure, remove or HEPA-clean per substrate, and correct the water intrusion that caused it. The smell resolves only when the active growth and its moisture supply are both gone. Re-test by re-occupancy odor walk plus, where the customer needs documentation, post-remediation verification sampling.

Never tell a customer "you have no mold" based on a visual walk alone when a credible musty odor is present. MVOCs indicate active metabolism you have not yet located. Document odor reports, moisture readings, and the locations you inspected so the file reflects an investigation, not a dismissal.
