Soft Ground or No Truck Access: Hand-Carry vs. Ground Protection vs. Decline Decision Tree
Why this matters
A crew that drives a loaded truck onto saturated ground is one bad step away from a rut claim, a stuck vehicle, or a snapped axle on an underground irrigation line. Three paths exist when the truck cannot safely reach the items: hand-carry everything to a staging point the truck can reach, lay ground-protection boards and drive partway in, or decline the access and reschedule. Choosing the wrong path creates property damage, crew injury, or a job that takes three times the labor budget. The tree below gives the field lead a repeatable method to pick the right option before a wheel touches the lawn.
Step 1 - assess ground condition
Walk the route the truck would travel before moving anything. Two checks:
Visual. Look for standing water, deep footprint impressions from the crew's own boots, or soil that visibly displaces sideways when stepped on. If the crew's footprints are deeper than 1 inch, the ground is soft enough to rut under a loaded truck.
Probe test. Push a screwdriver or a tent stake into the soil by hand. If it sinks more than 3 inches with light pressure, the moisture content is high. If it sinks more than 6 inches, the subsoil is saturated.
Also check for slopes. A grade over roughly 10 degrees (about a 1-foot rise over 6 feet of run) adds a lateral load component on wet ground that makes board placement unreliable.
Step 2 - measure the hand-carry distance
If the truck cannot safely reach the pickup location, determine the distance from the item to the nearest safe staging point where the truck CAN park without damaging the surface (street, driveway apron, gravel pad).
- Under 50 feet of flat carry with no stairs: hand-carry is generally feasible for items under the NIOSH 51-lb two-person team-lift guideline per handle. Heavy furniture, appliances, and bound loads above that weight require a dolly or furniture slides on any carry over 20 feet.
- 50 to 150 feet of flat carry: assess crew fatigue and load count. A single sofa is manageable; a full 10-cubic-yard truckload at this distance is a 3-to-4-hour carry and likely reprices the job.
- Over 150 feet, any stairs, or slope: hand-carry is not practical for the full load. Move to the board option or decline.
Step 3 - evaluate ground-protection boards
Plywood or purpose-built ground-protection mats distribute the axle load over a wider footprint and can allow a truck to cross soft ground that would otherwise rut. Before laying boards:
- The route must be flat or near-flat (under 10 degrees slope). Boards on a slope shift under drive torque.
- The soft section must be under roughly 30 feet. Longer runs require more board than a standard crew carries and require repositioning boards mid-drive, which is slow and inconsistent.
- The subsoil must have some load-bearing capacity. If the probe sinks 6 or more inches with light pressure (fully saturated clay or recently disturbed fill), boards spread the load but the soil still yields. The truck will still sink, just more slowly.
- The customer must confirm in writing that they accept remaining compression marks even with boards in place. Boards reduce rutting; they do not eliminate surface compression entirely.
If all conditions above are met, lay boards, drive in with a spotter, load, and drive out. Reposition boards on the exit path if needed.
Step 4 - when to decline
Decline the access and reschedule when any of the following is true:
- Slope over 10 degrees and visually saturated soil. Boards will shift; a loaded truck on a wet slope is a rollover risk.
- Probe depth over 6 inches and soft section longer than 30 feet. No board kit carried by a standard crew will reliably bridge this.
- Customer refuses to sign a surface-impact acknowledgment and the only viable path crosses the lawn. Do not proceed without written consent.
- The only alternate path is over a septic tank lid, a buried cistern, or unmarked utility lines the customer cannot confirm. Subsurface collapse risk is not manageable in the field.
- The item at the end of the carry weighs over 500 lb (e.g. a gun safe, cast-iron tub, or upright piano) and cannot be broken down. The hand-carry labor is unsafe and board-drive does not solve the access problem.
Declining is not a failure. Document the site condition in the job notes with photos, schedule a follow-up for when the ground has dried (typically 48 to 72 hours after rain stops in sandy or loam soils, longer in clay), and advise the customer on what they can do to improve access (rent a ground-mat set, have the item moved to the driveway by a neighbor before the crew returns).
Documenting before any lawn impact
Before laying boards or any crew movement across the lawn:
- Photograph the existing lawn condition from multiple angles, including any pre-existing ruts, bare spots, or soft areas.
- Have the customer sign a surface-impact acknowledgment that describes the route, the protection method being used, and the residual risk of compression marks.
- Note the probe-test result and ground condition assessment in the job record.
If the customer declines to sign and the route crosses lawn or soft ground, decline the access. A photo of the pre-existing lawn without a signed acknowledgment does not protect the business in a damage dispute.
Do not allow the driver to use vehicle momentum to "power through" soft sections without boards. A truck that sinks mid-lawn is harder to extract than a job that was declined. Extraction costs, tow fees, and lawn repair will exceed the revenue on any residential pickup.
